During the ESMO Asia Congress 2023, your badge may be scanned outside session rooms by ESMO for operational and statistical purposes. Badges scanned inside the Exhibition area by third parties may be for statistical or marketing purposes. Should you agree to have your badge scanned, the following information will be transferred: title, first name, last name, institute, department, profession, city, country, email address. Processing of personal data must be in line with the GDPR and other applicable data protection laws, and third parties are responsible for and must be able to demonstrate compliance with the principles relating to the processing of personal data (which includes having a legal basis for processing). Individuals have the right to refuse their badges being scanned.
The Certificate of attendance will be available online from Sunday, 3rd December 2023. You will have one week to access the ESMO website in the Congress section and print it from home. You will need the ESMO Username and Password to log in and then complete the evaluation questionnaire.
ESMO-MORA: The ESMO Asia Congress 2023 programme has been accredited with 19 ESMO-MORA category 1 points. Recertification is necessary for medical oncologists to remain professionally certified by ESMO. It also guarantees that a certified medical oncologist has continued to update her/his knowledge and still possess the necessary skills and standards for the practice of medical oncology. The ESMO Daily Reporter is the official Society’s newspaper freely available in digital format at this link. Stay up-to-date with the latest advances in oncology with daily news and commentaries from key opinion leaders on the scientific findings presented at the Congress. Go online and read fresh contents from Friday 1st to Sunday 3rd December.
It is each participant’s responsibility to check and comply with the latest health and travel regulations to ensure a smooth and safe journey from the Country of origin to the event venue, and back.
During the event, ESMO will apply health and safety protocols according to the latest local authority guidelines and regulations.
In general, ESMO recommends
- To apply precautions and measures according to formal guidance and personal medical history
- To stay up-to-date with the vaccination status
- To perform a Rapid Antigen Test and wear a mask in case of symptoms
Use of mask is at own discretion in the absence of symptoms.

Be recognised as an ESMO Member
All ESMO Members registered for the congress and in good standing will have “ESMO Member” printed on their badge. You will need to be identified as an ESMO Member to access the Lounge and enjoy all your member-exclusives.
If your member acknowledgement is missing, please stop by one of the Membership Services Desks located in the registration area, at the Booth or in the Member Lounge.

Exhibition visitors may register on-site at the fee of 170 SGD. The “Exhibitor visitor” badge authorises access to the Exhibition, Private Meetings and Industry Satellite Symposia only. Access to sessions and webcasts is not included.
Access times for Exhibitors: staff holding exhibitor badges may enter the exhibition hall 1 hour before the official opening and must leave the halls by 18:30 on Friday and Saturday, and 16:30 on Sunday.

The Congress content is the copyright of ESMO. It is strictly forbidden to record or capture in any way the official programme, the Exhibition and/or the posters presented during the meeting. Special rules apply to registered members of the Press. Please refer to the “Press & Third Party media activities” section for further details. Photographs and/or footage may be taken throughout the Congress by ESMO appointed photographers and cameramen. These might be used by ESMO in its own publications, on the website and social media channels. The subjects of the photographs and/or the footage are chosen at random. By attending the Congress participants consent to the fact that photographs and/or footage may be captured and used by ESMO.

Industry satellite badges can be purchased on-site at the fee of 170 SGD. The “Industry satellite” badge authorises access to the Exhibition, Private Meetings and Industry Satellite Symposia only. Access to sessions and webcasts is not included.
Normal caution must be exercised by all. ESMO bears no responsibility for untoward events in connection with, before, during or after the Congress.
Internet kiosks, charging and app download stations are available throughout the venue.

Participants and exhibitors attending the Congress are welcome to attend the official Opening Session on Friday, 1st December 2023 from 09:30 – 10:30 on Level 4, Hall 406.
Should an auditorium be full, and you are not able to enter, please make your way to the dedicated overflow areas, hostesses can assist you in finding the right place, where you will be able to follow the session remotely via screens and headsets.
Paper posters will be displayed in the exhibition hall on Level 4, Hall 401 – 403.

Invited Speakers, Proffered Paper and Mini Oral presenters are requested to deliver and check-in their presentation at the Speaker centre located on Level 3, Room 323, no later than 3 hours before the start of the session. Content for first sessions in the morning should be delivered by 17:00 on the preceding day.
Presentations cannot be uploaded directly on laptops in the session rooms.
It is strictly mandatory that Invited Speakers, Proffered Paper and Mini Oral presenters include a Declaration of Interest (DOI) disclosure slide at the start of their presentation/s.
All session Chairs, invited Speakers, Proffered Paper and Mini oral presenters must be in the Auditorium 15 minutes prior to start of their session in order to be briefed by technicians.

Filming activities by Press Representatives
ESMO press conferences and press briefings can be audio and video recorded. Video recording of the Congress sessions is only possible for few minutes (news coverage). Video recording of the Congress sessions without authorisation is prohibited.
Photographing during sessions by accredited press representatives is allowed for personal and non-commercial use only, i.e. photos cannot be published or reproduced in any way.
Anyone carrying filming equipment at Events, is requested to wear all times a specific vest distributed onsite together with the badge.

Filming activities by Third Parties
Congress content is the copyright of ESMO. It is strictly forbidden to record or capture in any way the official programme, Satellite’s sessions, Exhibition area and/or posters presented during the meeting.
All filming activities initiated by Third Parties need written approval by ESMO (filming@esmo.org).
Photographers and/or filming crew members hired by Third Parties, can perform their activities abiding by the ESMO Filming Policy and purchasing a specific filming badge. Specific and different filming permissions may be granted to Third Parties and are subject to limitations and rules based on the purpose, the activity and the entity applying for the badge request. Delegate badge
The delegate badge is the only official evidence of registration. Thus, participants not wearing their badges do not have access to the Congress. Loss of badge is loss of registration, and a new badge can be issued only upon payment of the pro-rata fee. Further details about registration are available on our website.
Smoking is prohibited by Singapore law in all indoor places including the Congress Centre.

ESMO is committed to doing business in a sustainable and socially as well as environmentally responsible way. Conducting our activities, we take into consideration the efficient and responsible use of energy and materials and the responsible disposal of residual waste.
As such, a number of actions have been implemented towards reducing waste and minimising the environmental impact of the ESMO Asia Congress 2023.
These include:
- Congress bag converted to the virtual congress bag on the platform
- No printed programme book – the online programme is accessible via the ESMO website and Congress platform as well as on the Congress app
- No printed Daily Reporter, available in digital format
- Limited amount of ESMO Society printed material distributed on-site
- Lunch box packaging materials are certified biodegradable
- No distribution of plastic bottled water*
- Build-up and structures are designed based on reusable building materials where possible
- Delegates will be encouraged to use public transport. Public transport information will be provided on the congress website and mobile app.
- Include information in Exhibitor Manual for exhibitors to adopt sustainable practices for onsite activities, booths etc.
- Locally sourced food in so far as is possible
*Delegates are encouraged to bring their own reusable water bottles and refill them at the water dispenser

The Congress webcasts will be available for all delegates and will include all the sessions of the official programme where speaker permission is granted.
Registered delegates:
- ESMO Members: resource access on OncologyPRO from 4 December 2023 for 5 years
- Non-Members: resource access on OncologyPRO from 4 December 2023 for 6 months
Non-Member delegates will have access for 6 months post Congress.
ESMO Members not registered to the congress will have access to resources on OncologyPRO from 3 months after the end of the congress (from 1 March 2024) for 5 years.
