IMPAKT 2016: Your Questions Answered

Questions and Answers about the decision to cancel IMPAKT 2016, 12-14 May, Brussels, Belgium

Why is IMPAKT 2016 being cancelled?

Following the attacks in Brussels on 22 March, there are still some security concerns and therefore the situation remains unstable. It is also highly unlikely that the transport services will be back to normal in time for IMPAKT.

Consequently, we have decided to cancel IMPAKT 2016 including the Pre-IMPAKT Training Course (11-14 May, Brussels, Belgium). BIG and ESMO have placed the highest priority on the safety of conference participants and we wish to avoid taking any unnecessary risks.

This was not an easy decision to make and we sincerely apologise for the inconvenience caused.

Can IMPAKT be moved to another destination or held at a later date in 2016?

BIG and ESMO considered various alternative scenarios, but they were not feasible because of the short time before the conference.

Will IMPAKT take place in 2017?

Offering a unique platform which supports translational research in breast cancer, IMPAKT has the potential to turn the latest scientific discoveries into real value for breast cancer patients.  BIG and ESMO remain committed to IMPAKT and confirm the conference will take place in 2017.

Will IMPAKT 2017 be held in Brussels?

BIG and ESMO are closely monitoring the situation in Brussels and hope to be able to confirm the date and location of IMPAKT 2017 in the near future.

Will ESMO cancel any other events?

All of ESMO’s other conferences are going ahead as planned and we hope you to see you at one of our upcoming events.

What is the refund policy for registration?

BIG and ESMO understand the difficult situation this may put participants in and, therefore, we are refunding the entire conference registration fee.  We are not able to refund travel or accommodation fees. For more information we invite you to review the meeting cancellation policy adhered to by all registered participants.

What is the policy for refunding travel and accommodation?

To cancel hotel reservations, please revert to the confirmation email and follow the instructions therein. Please note that there may be cancellation fees in accordance with the accommodation provider's and/or service supplier’s cancellation and no-show policy.

To cancel flights, please contact the booking agency, travel agency or airline directly.

The ESMO cancellation policy recommends all participants have adequate personal, health and travel insurance.

When and how will I receive the reimbursement for my registration fee?

All registered participants for IMPAKT should have received an email with information about the cancellation of the conference and reimbursements. Registration reimbursements should take place by the end of April; the IMPAKT Registration Unit ( registration.impakt@esmo.org) will contact all registered participants directly.

Should you not have heard from us by the end of April or if you have any other questions you can direct them to the following contacts:

Registration: registration.impakt@esmo.org
Sponsorship: nikolaj.tomma@esmo.org
Press/Media: media@esmo.org

What will happen to accepted abstracts. Will they still be published?

BIG and ESMO are well aware of the choice authors made by submitting abstracts to IMPAKT and we sincerely apologize for this inconvenient situation. Due to the cancellation of IMPAKT 2016, the Abstract Book Supplement of Annals of Oncology will also be cancelled. As a consequence of the IMPAKT 2016 Abstract Book not being published, we WILL release the abstracts back to the authors, providing an opportunity to submit these important studies to another conference.

ESMO is pleased to inform authors that there is still time to submit abstracts to ESMO 2016 in Copenhagen, submission deadline: 11 May 2016.
