About the Department

The Guidelines, Publishing & Online Education Department (GPOE) is responsible for the commissioning, editing and production of ESMO scientific publications and the website OncologyPRO. The publications are split into two distinct areas: Guidelines and Educational Books.

The Role

Working closely with the direct supervisor (Publications Sales & Distribution Manager), Guidelines Manager and Head of Department, the Publications Support Coordinator will be responsible for the update and testing of guidelines derivative products in specific formats (apps, slide sets, etc.). Working closely with the direct supervisor and the GPOE department and other ESMO departments (e.g. Medical Affairs, Communications), the Publications Support Coordinator will process, organise and control sales orders for a selection of ESMO publications and other content, as instructed. The Publications Support Coordinator will also assist with the development of print & electronic commercial support material (e.g. slide kits, product catalogue, etc.).

Main Responsibilities

Tasks related to the guidelines derivative products

  • Working closely with the direct supervisor, Guidelines Manager and Head of Department, oversee the development, update and maintenance of the ESMO guidelines app:
    • Prepare the overview of content to be created/updated for the guidelines app on an annual basis and liaise with the supplier to obtain the costs of update and development
    • With the direct supervisor, review and approve all design and navigation changes
    • Manage minor content updates within the guidelines app admin console
    • Review/test all major updates completed by the supplier
    • With the direct supervisor, arrange promotion of all new releases
  • Working closely with the direct supervisor, Guidelines Manager and Head of Department, oversee the development, update and maintenance of the ESMO guidelines slide sets
    • Prepare the first draft of each guidelines slide set, based on the content of the relevant pocket guidelines and liaise with the relevant authors/editors to agree the final content for inclusion
    • Provide the agreed content draft to the agency for final branding and production
    • Review and approve the drafts and final version provided by the supplier
    • With the direct supervisor, arrange promotion of all new releases

Tasks related to sponsorship, sales and distribution (primarily assisting the direct supervisor)

  • Work closely with the direct supervisor and rest of department to assist with meeting agreed deadlines for production, delivery and fulfilment of sales orders for a selection of ESMO industry-sponsored printed and online products
  • Preparing and following up on applications for industry funding grants when required
  • Assist with producing and maintaining a promotional library (online, slides, catalogue, downloads) for the published products portfolio
  • Follow-up on the progress of the production and delivery process. Provide status updates of sales/reprints orders to direct supervisor and arrange invoicing to clients
  • Answer website enquiries and requests from external parties (industry partners, etc) with support from the direct supervisor (Level 1 request handling)
  • Assist with the sale of reproduction rights to agencies/other organisations and coordinate with ESMO’s journal publishers when appropriate
  • Responsible for key aspects of supplier management including printers, agencies and third-party providers for specific tasks assigned by the direct supervisor.

Essential Skills

  • Excellent Communicator (In English)
  • External liaison with: industry clients, external agencies, printers, delivery contractors, couriers, congress venues etc.
  • Internal collaboration within ESMO: with various departments including: Events Sponsorship, Strategic Partnership, Medical Affairs, Finance, Communications, Congress, Education, Web Team.

Technical and professional skills

  • Use of tools such as PowerPoint, Excel, Word, Office etc. and a proficient business/office background.
  • Numeracy, ability to interpret and report of sales budgets and revenues.

Language skills

  • Fluency in written and spoken English. C level (proficiency) or native speaker required
  • Other languages an advantage

Requirements

Basic training and specialisation

Relevant degree or at least 3 years of relevant professional experience in the area of development of published and/or related products or sales/fulfillment.

Required professional experience

A minimum of two years in a publishing, project management or sales role. Experience of working within either the pharmaceutical industry, medical or similar environments would be an advantage. Knowledge of ESMO publications and target audiences would be an advantage. Experience of proof-reading and technical/language editing of (scientific/medical) literature.

  • Valid permit to work in Switzerland
  • Start Date – As soon as possible, or mutually convenient
