Executive Secretary

The European Society for Medical Oncology (ESMO) is seeking to recruit an Executive Secretary based in the ESMO Head Office in Lugano, ideally beginning as soon as possible or at a mutually agreed date.

The Executive Office is responsible for supporting the Chief Executive Officer and for coordinating the activities of the ESMO Executive Board including the management of Executive Board Meetings, relationships with other societies and in delivering strategic projects of the Society supporting the mission and goals.   The Executive Office is also responsible for coordinating the activities of the Nominating Committee, Fellowship & Awards Committee, Young Oncologists Committee and for the organisation of the Leaders Generation Programme.

The role

The Executive Secretary reports directly to the Head of the Executive Office and is based at the ESMO Headquarters in Lugano.  S/he will provide administrative support to the Executive Office and support high ranking officials in our organisation.

Organise and maintain schedules and assist in performing a variety of administrative tasks with the goal of contributing to the overall efficiency of the Executive Office ensuring all administrative and assigned duties are carried out on time and effectively. 

Suitable applicants should possess the following

  • Fluent in English and ideally mother tongue (written and spoken) – other languages advantageous
  • Excellent social and communication skills
  • Proficient in MS Office (outlook, word, powerpoint and excel) and familiar to using back office support systems e.g. payment systems
  • Excellent problem solving, prioritising, attention to detail and focus on accuracy and quality, multi-tasking skills
  • Experience with working within a diverse working environment e.g. geographical, cultural               
  • Familiarity with basic research methods and reporting techniques
  • Flexible, able to handle changes and pressure
  • Integrity and confidentiality

Requirements

  • Degree in business administration or relative field advantageous
  • At least 5 years experience of providing support at a high level (with proven experience)
